With the latest release, It is possible to automatically allocate users to the correct “Company” in TravelPerk as opposed to all users being assigned to the default company.
The new feature also enables clients to filter the users synced to TravelPerk based on the company (entity) they belong to.
This document provides a step by step guide on how to add this feature to your existing Hibob integration. Please note that entities are stored in custom fields in Hibob
Step 1: Ensure the company names in TravelPerk have the identical name to the company (entity name) stored in Hibob
1.1 From the TravelPerk homepage, click on Account Settings > Account > Companies
1.2 Ensure the company names listed have the identical name to what listed in Hibob. The company name will be found in a custom field within Hibob. It is recommended that you copy and paste the company name from there.
** Please note that the names are case and character sensitive so the match must be identical **
Step 2: Edit Custom Field Mappings on TravelPerk
2.1 From the TravelPerk homepage, click on Account Settings > Integrations > Hibob > Manage > Click on ‘Edit’
2.2 You will see a pop up. Click on ‘Map Fields’ > followed by ‘Map Fields’ again. Then search for the custom field where the company information is stored in Hibob (for example: Employing Entity). Lastly, click ‘Save Mappings’.
2.3 It may take around 10-20 minutes to save depending on the number of users you have in Hibob. Click on ‘Finish Setup’ and move on to the configuration page on TravelPerk to complete the setup as detailed in Step 3.
Step 3: Companies Matching Configuration on TravelPerk for Hibob Integration
3.1. Under Account Settings > Integrations > Hibob > Manage > Click on ‘Configure’
3.2 Optional - You are now able to filter by company in TravelPerk should you only want to add certain entities to TravelPerk
3.3 TravelPerk can automatically assign employees to companies synced from Hibob. You will have the option to automatically assign all companies or selected companies only.
Note: If you choose only selected companies, any new Users[d] that fall under the companies not selected will be assigned to the default company.
!! Please note that the company must already be set up in TravelPerk using the exact entity name that is in Hibob!!
