In this article, you will learn about the differences between a Select and Free Text custom field options.
Select field types
Allows admins to create a field with a predefined list of options for users to pick from. These custom fields help ensure consistency and accuracy when categorizing trips or users as there will be a closed list of options to select from.
Some typical uses of select custom fields:
- For team member fields, to track organisational structures like departments, business units or offices
- For booking fields, to track Reason for Travel (from a closed list), project codes or customer codes.
Free text field types
Allow admins to create a field in which users can enter any text they want. This can be useful when collecting information that doesn't fit neatly into predefined categories.
However, because there are no predefined options, free text custom fields can be more difficult to analyze and categorize. Users may enter text that is misspelt, inconsistent, or difficult to interpret, which can make it harder to generate accurate reports and analyze travel data.
Some typical uses of free text custom fields are:
- For team member fields, tracking identifiers for team members from other systems (like an ERP) or storing travel preferences
- For booking fields, explanation of the selected fare, special requests for accommodation or dietary restrictions that travellers want to communicate to their travel manager
