Approval processes give your company control over spending and allow trips to be checked by the right person before they are booked.
Approval processes are available to all customers and you can create a certain number depending on your pricing plan.
- Starter: 1 active approval process
- Premium: 10 active approval processes
- Pro: Unlimited approval processes
Note: Only active approval processes count towards your limit. For all plans, you can have as many archived approval processes as you like.
Approval rules
You can set the following rules using approval processes:
- who is the approval process for - individuals or groups of travelers
- is approval needed when booking
- who should approve trips
- the types of trips that require approval - based on your company's travel policies
- approvals for certain cost centers
- approvals for changes to booked trips
- if approvers are notified about new trips
For more information, see Set up an approval process.
Approvals can be sent directly to a traveler's line manager if your account is set up correctly. For instructions, see Assign a line manager as an approver.
Approvers
If a trip requires approval, a request will be sent to the traveler's approver:
- Approvers can decide to approve or decline the request.
- If the request is declined, they can write a message to the traveler.
- Approvers who are Admins can change payment profiles, cost centers and labels before confirming trips.
- Admins can approve any trips.
Tip: If an approver is going to be out of the office, they can choose who they want to manage approval requests while they're away. For instructions, see Turn on out-of-office approvals.
