You can add all the bookings of an individual trip to your calendar by importing its .ics file.
There are two ways to download a trip ICS file, from the Trip Page or from the Trip Confirmation email.
Downloading the calendar event from the Trip page
Navigate to the Trip page following these steps:
- Click on the Trips button in the main menu
- Search for the Trip using the trip search, using the filters or navigating through the list of trips
- Once you find it, click on the card
- On the right side, you will find the button “Download ICS”, click on it
- You will see an ICS file downloaded to your computer

Downloading the calendar event of a Trip confirmation email
Booking confirmation emails from Travelperk come with an attached ICS file that contains all the bookings for that Trip.
Attached to your Booking confirmation email you will find an “invite.ics” file, download it.
Now it’s time to import this file to your calendar application, please check the relevant guide to the one you are using.

Importing a calendar event to Google Calendar
- Open Google Calendar. In the top right, click Settings.
- In the menu on the left, click Import & Export.
- Click Select file from your computer and select the file you exported. The file should end in ".ics."
- Choose which calendar to add the imported events to.
- By default, events are imported into your primary calendar
- Click Import

Importing a calendar event to Microsoft Outlook
- In Outlook, select File > Open & Export > Import/Export.
- In Import and Export Wizard box, select Import an iCalendar (.ics) or vCalendar file (.vcs), and then Next.
- Select the calendar file from your PC and select OK.
- Select Open as New. The items are automatically imported into your calendar.

⚠️ Please note: Unfortunately, just opening (double-clicking) the attachment won’t work on some versions of Outlook and you will need to follow the above steps to for example, get all the events of trips with multiple bookings.

An ICS file is a calendar file saved in a universal calendar format that can be used in different calendar applications like Google Calendar, Microsoft Outlook, Apple Calendar or Mozilla Thunderbird. It’s a common file format used when sharing meeting events, upcoming birthdays, parties or trips that others can add to their own calendar.
Can I download ICS files from other travellers?
Admins and Travel managers will have access to the Trip page of other travellers. You should be able to download it and upload it to any calendar you prefer.
How can I have all my bookings automatically in my calendar without having to download them one by one?
