An ICS file is a calendar file saved in a universal calendar format that can be used in different calendar applications.
Admins and Travel managers have access to trips for other travelers and can download the ICS file and upload it to any calendar.
Tip: To have your trips automatically synced with your calendar, enable the Google Traveler Calendar or Microsoft Traveler Calander integration on TravelPerk. You can also add all company trips to a Google or Microsoft Admin calendar.
To add an individual trip to your calendar, you first need to download the trip's ICS file and then import the file into your calendar.
Download an ICS file
There are two ways to download an ICS file:
- from the Trips page
- from the trip's confirmation email
Download the ICS file from the Trip page
- Go to the Trips page
- Find the trip and click the name

Under Keep track of travel plans, click Download ICS

Booking confirmation emails from Travelperk come with an attached ICS file that contains all bookings for that trip.
- Go to your email inbox and find the trip's confirmation email
- At the bottom of the email find the attached invite.ics file and click Download
Import an ICS file to your Calendar
Once you have downloaded the ICS file for your trip, you need to import it to your calendar.
Google Calendar
- Open Google Calendar and in the top right, click Settings
- In the menu on the left, click Import & Export
- Click Select file from your computer and select the file you downloaded - the file ends with .ics
- Choose which calendar to add the imported events to - by default, events are imported into your primary calendar
- Click Import
Microsoft Outlook
- Open Outlook, select File, Open & Export and then click Import/Export
- In the Import and Export Wizard box, select Import an iCalendar (.ics) or vCalendar file (.vcs)
- Click Next
- Select the calendar file from your computer and click OK
- Select Open as New and the items are automatically imported into your calendar
Note: Opening or double-clicking the attachment won’t work on some versions of Outlook and you need to follow the above.
