Archive users
- Go to the People page
- Find the user you want to archive
- Click on the three dots or click on their name to open the panel
- Scroll down and click Archive user
After archiving, users lose access to their TravelPerk account and can't be selected for new trips. Their past trip information will still appear on the reporting and trip pages.
Unarchive users
- Navigate to the People page
- Go to the Archived tab
- Find the user you want to unarchive
- Click the three dots or click on their name to open the panel
- Scroll down and click Unarchive
Unarchived users regain access to their TravelPerk account and can be selected for new trips. They’ll still have their previous personal and company settings.
Delete users
- Navigate to the People page
- Go to the Archived tab
- Find the user you want to delete
- Click on their name to open the panel
- Scroll down and click Delete user
Deleted users won’t be able to access to their TravelPerk account and can't be selected for new trips. Deleting a user removes the personal data linked to the account. Their past trip information will still appear on the reporting and trip pages but without any personal information that could be associated with them. This action is irreversible.
Note: You can archive, unarchive, and delete multiple users at once from the People page by using the checkbox.
Handling personal data for deleted users
We may retain some personal data to comply with the legal obligations that may arise from the relationship with us.
We maintain specific retention policies and procedures so that such data is deleted or anonymized after a reasonable time and according to the statutory retention periods.
If you want to erase your personal data, request an account deletion from a company admin. If you're an admin wanting to delete your account, ask another admin from your company.
Special cases
SCIM (Azure/OKTA integrations and API implementation)
Users can be archived on TravelPerk, but if they're still active in the original Identity Provider, they will be marked as active again on TravelPerk in the next sync.
BambooHR
Users can be archived on TravelPerk, but unarchiving in BambooHR will not automatically unarchive in TravelPerk.
